1. About this policy
Namib Hearing respects your privacy and handles personal information with care. This policy explains how we collect, use, store, and share information when you visit namibhearing.com, request an appointment, submit a branch enquiry, contact us, or interact with our online booking service.
This policy applies to the Namib Hearing website and booking service. It does not replace any additional privacy information that may apply to clinical records or services provided directly by a healthcare professional.
2. Information we collect
Information you provide may include:
- your name, email address, and telephone number;
- your selected branch, requested service, preferred appointment date and time;
- messages or other information you include with an appointment or enquiry;
- your consent to submit the request; and
- information you provide through other website contact forms or communications.
Our website and hosting services may also process technical information such as your IP address, browser type, device information, request timestamps, security events, and similar server-log data. We use this information to operate, secure, troubleshoot, and prevent abuse of the website and booking service.
Please do not include detailed medical information in a free-text message unless it is necessary for your request.
3. How we use personal information
We use personal information to:
- display and check appointment availability;
- receive, review, approve, reschedule, or cancel appointment requests;
- respond to branch enquiries and other messages;
- contact you about a booking, service request, or change;
- send operational notifications and calendar information;
- operate, secure, diagnose, and improve the website and booking service;
- prevent fraud, spam, misuse, or duplicate submissions; and
- meet applicable legal, accounting, dispute-resolution, and professional obligations.
We do not sell personal information and do not use it for third-party advertising.
4. Google Calendar information
Namib Hearing uses Google Calendar to provide live availability and manage Swakopmund appointment events. The connection is authorized by the Google account that manages the practice calendar.
The booking service requests these Google permissions:
- Google Calendar read-only access, used to identify calendars the authorized account can access and to read free/busy information needed to calculate available appointment times.
- Google Calendar event access, used to create temporary booking holds and to confirm, move, update, or cancel appointment events.
Free/busy results are processed in real time to calculate availability. Namib Hearing does not retain a separate copy of the authorized Google account’s general calendar or unrelated calendar events.
The booking service may store the selected calendar identifier, identifiers for Google events created by the service, and the information needed to manage an appointment. Appointment events created by the service may include the patient’s name, contact details, requested service, appointment time, and booking status. Authorized Namib Hearing staff with access to the practice calendar can view these appointment events.
Google OAuth client credentials, access tokens, and refresh tokens are encrypted at rest. Tokens are retained until the Google connection is replaced or disconnected. The authorized Google account can revoke access at any time from its Google Account permissions page at https://myaccount.google.com/permissions.
Namib Hearing’s use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide and improve the booking and calendar features described in this policy. It is not sold, used for advertising, or used to train generalized artificial-intelligence or machine-learning models.
5. When information is shared
Personal information is accessible only to Namib Hearing staff and service providers that need it to operate the website, booking system, calendar, hosting, security, or email delivery. These providers may include the website host, Google Calendar, and the configured email-delivery provider.
We may also disclose information when required by law, to respond to a lawful request, to protect the rights or safety of patients or others, to investigate misuse, or to establish, exercise, or defend legal claims.
We do not sell or rent personal information.
6. Retention
Appointment and enquiry records are retained for up to 24 months after the last interaction unless a longer period is reasonably required for legal, accounting, dispute-resolution, or professional obligations.
Appointment events remain in the practice calendar according to Namib Hearing’s operational calendar practices unless they are cancelled or deleted. Google OAuth tokens are retained until the connection is replaced or disconnected. Real-time free/busy results are not retained as a copy of the calendar.
When information is no longer required, we take reasonable steps to delete or anonymize it.
7. Security
We use reasonable administrative and technical safeguards designed to protect personal information. Google credentials and tokens used by the booking service are encrypted at rest, and access to administrative booking functions is restricted.
No method of transmission or storage is completely secure. We therefore cannot guarantee absolute security, but we will take reasonable steps to investigate and address suspected security incidents.
8. Your choices and requests
You may contact us to request access to, correction of, or deletion of personal information associated with your booking or enquiry. Some information may need to be retained where required by law or for legitimate recordkeeping, dispute-resolution, or professional purposes.
To make a privacy request, email bookings@namibhearing.com. We may need to verify your identity before completing a request.
You can revoke the booking service’s Google access through the permissions section of the authorized Google Account. Revoking access will stop live availability and Google Calendar event management until the practice reconnects the service.
9. International service providers
Some service providers, including Google and website or email infrastructure providers, may process information outside Namibia. Their processing is also governed by their own terms, privacy policies, and security measures.
10. Changes to this policy
We may update this policy when our services, technology, or legal obligations change. The latest version will be published on this page with an updated date.
